The Engineering & Operations Coordinator works out of our Tulsa, OK Headquarters and reports directly to the Vice President, Human Resources & Corporate Services. The position is primarily responsible for providing routine and non-routine administrative and Engineering & Operations support by creating and maintaining departmental files, preparing reports and correspondence, and coordinating meetings. The position works a hybrid work environment.

Detailed Description:

DUTIES AND RESPONSIBILITIES

  1. Complies with DOT and OSHA health, safety and environmental requirements and follows safety philosophy and procedures developed by the Company including: applicable environmental, health and safety rules, procedures, and accepted safe work practices, the use of appropriate personal protective equipment and safety systems, and the reporting of workplace hazards and injury or illness arising from workplace activities; observes the workplace to identify conditions or behaviors that should be corrected and takes appropriate action.
  2. Performs research as needed for the Engineering and Operations departments to acquire old and/or new records, equipment, suppliers, vendors and contractors.
  3. Provides administrative support to the Engineering and Operations departments with bid package administration, specification preparation, archival of equipment records, and management of offsite records storage and retrieval.
  4. Distributes project tabs for Engineering projects; assists in the development and maintenance of the record or job book.
  5. Creates and maintains the filing system for Engineering and/or Operations according to the Companys Records Retention policy.
  6. Provides support with the scanning reports, and job books; tracks applicable Engineering and Operations documentation in Excel.
  7. Compiles information for and prepares routine correspondence, forms and reports; conducts research as needed and prepares reports summarizing findings.
  8. Prepares and distributes contracts, reports, presentations and other business materials as needed.
  9. Provides support in other administrative matters related to Engineering and Operations such as ordering supplies for special projects and acting as an initial point of contact for Engineering, Operations and ROW inquiries from outside parties.

Qualifications/Requirements

REQUIREMENTS
Education and Experience

  • An Associate’s degree or the equivalent in experience and a minimum of five years of general administrative experience is required.
  • Additional experience in support of engineering personnel in an energy-related company and notary public designation is preferred.

Knowledge, Skills and Abilities

  • Ability to actively engage in safe behavior and understand and follow the principles and methods related to pipeline and workplace safety as established by the Company.
  • Knowledge of emergency and safety procedures, policies procedures, equipment operating parameters, and all applicable DOT, EPA, FERC, DHS and OSHA requirements.
  • Skill in using computer hardware and software are required to manage, record, and evaluate company information.
  • Well-developed skill in utilizing Microsoft Word for formatting of contracts, specifications and other Engineering documents and letters.
  • Well-developed skill in utilizing Microsoft Excel for tracking and documenting Engineering information.
  • Strong organization skills, attention to detail, and follow through to resolve issues.
  • Ability to organize information clearly and precisely.
  • Ability to investigate and analyze information and to draw conclusions.
  • Ability to coordinate multiple and changing priorities.
  • Ability to coordinate actions in relation to others’ actions.
  • Well-developed verbal and written communication skills necessary to interact with all levels of employees and contractors across the organization.
  • Ability to work with minimal supervision.
  • Ability to effectively work and cooperate with supervisors, co-workers and vendors.
  • Ability to follow corporate policies and the directions of supervisors.
  • Ability to refrain from causing or contributing to the disruption of the workplace.
